How to choose meeting notes tools
Capture method is the first thing to check. Granola, Jamie, Tactiq and OpenWhispr are listed as bot-free, while Jamie also covers in-person calls.
Data location matters if recordings are sensitive. Meetily and OpenWhispr are open source and work on-device, and Meetily can also be self-hosted. Screenpipe is another open-source option, but it records screen and audio locally to give AI tools context rather than focusing on meeting notes.
Platform fit narrows the list quickly. Otter.ai and Notta cover web, mobile, desktop and Chrome. Tactiq only runs as a Chrome extension and on the web, and Meetily is desktop or self-hosted.
Pricing and integration finish the comparison. Most tools here are freemium, with listed paid plans from $6.67/mo (OpenWhispr) to $21/mo (Screenpipe). Gong and Salesloft are sales platforms with contact-only pricing. If transcripts need to reach other systems, look for an API: Fireflies.ai, Otter.ai and Fathom list one, while Notta and Tactiq don't.
Frequently asked questions
Are there free AI meeting notes tools?
Many tools in this category are freemium, including Fireflies.ai, Otter.ai, Granola, Fathom, Notta, Jamie, Tactiq and Meetily, so they offer some level of free access. We don't list free-plan limits, so check each tool's pricing page. Meetily, OpenWhispr and Screenpipe are also open source.
How much do meeting notes tools cost?
Listed paid plans for most freemium tools start between $6.67/mo (OpenWhispr) and $21/mo (Screenpipe), with Notta at $8.17/mo, Otter.ai at $8.33/mo and Fireflies.ai at $10/mo. Resemble AI, a deepfake detection tool with meeting protection, starts at $280/mo. Gong, Salesloft and Greenhouse require you to contact them for pricing, and no starting price is listed for Jamie, Notion AI or Tactiq.
What should I look for in a meeting notes tool?
Check whether it is bot-free, whether it runs on your devices, and whether you need an API or on-device processing. It also helps to match the tool to your workflow: Otter.ai, Jamie and Tana mention CRM follow-ups or updates, while Notion AI is built into the Notion workspace.
What are the alternatives to a dedicated AI notetaker?
Notion AI adds meeting notes to the Notion workspace, and Littlebird AI is an assistant that remembers your screen, meetings and apps. Screenpipe records screen and audio locally to give AI tools searchable context. Sales teams can look at Gong, which captures sales interactions and automates follow-up. For voice dictation rather than meeting notes, there is Wispr Flow.
